1. Who we are

FamilyOS is built and operated by Dogwood Systems Inc., a company based in Ontario, Canada. It's a family logistics tool — it helps parents stay on top of schedules, school events, activities, and the daily stuff that falls through the cracks.


2. Where your data lives

All data is stored in Canada (AWS ca-central-1, Ontario) in compliance with PIPEDA. Each family gets their own isolated partition — your data is never mixed with another family's.


3. What we collect

  • Your identity: Name, phone number, and email address.
  • Your family:Children's names, ages, schools, and activity schedules — whatever you share with us during onboarding or in conversation.
  • Calendar events: If you connect Google Calendar or iCloud Calendar, we read your calendars (including shared family calendars) to track schedules. We never create, edit, or delete events without your explicit request.
  • Emails: If you connect Gmail, we scan your inbox (read-only) to pick up school notices, activity updates, and scheduling details. We never read, send, or draft emails on your behalf.
  • Conversations: Messages you send to your FamilyOS assistant via SMS are stored so the assistant can remember context.
  • Login info:We use passwordless login — a code or magic link sent to your phone or email. We don't store passwords because there aren't any.

4. What we do with it

  • Send you a daily briefing with your family's schedule, reminders, and anything we've picked up from your calendar or inbox.
  • Power your SMS assistant — when you text your assistant, it uses your family's data to give helpful, specific answers.
  • Send nudges and reminders about upcoming events, deadlines, and logistics.
  • Extract facts from your emails and calendar — things like "Liam has baseball practice Tuesdays at 4pm" — so the assistant can reference them later.

5. Children's data

Children don't use FamilyOS directly — only parents and guardians interact with the platform. We store children's names, ages, and schedule information that parents provide. This data stays within the family's isolated partition and is never shared outside of it.


6. AI and your data

  • We use Claude (via Amazon Bedrock) for understanding your messages and generating briefings.
  • Your data is never used to train AI models. Amazon Bedrock does not use customer inputs for model training.
  • When we scan emails, we process them on the fly to extract scheduling details. We don't store the email content itself — just the structured facts we pull out (like event names, dates, and times).

7. SMS and consent

FamilyOS communicates with you over SMS — briefings, reminders, and two-way conversation with your assistant. How often you hear from us depends on your family's schedule.

Each person added to your family group must individually opt in by replying to a confirmation message. Nobody gets added to the group without explicitly agreeing.

You can opt out any time by replying STOP. Reply HELPfor assistance. Msg & Data rates may apply.

We do not sell or share your personal data with third parties. SMS opt-in data and consent will not be shared with any third parties or affiliates for marketing or promotional purposes.


8. How long we keep things

  • Login sessions: Access tokens expire after 1 hour. Refresh tokens expire after 30 days.
  • Conversation history: Your SMS messages with the assistant are retained while your account is active.
  • Family facts: Extracted facts (like recurring schedules) are kept while relevant and automatically expire over time.
  • Email scan records:We track which emails we've already processed so we don't scan them twice. These records expire after 30 days.
  • Everything else: Your family profile, children, schools, and schedule data are kept for the duration of your subscription.
  • If you cancel, contact us and we'll delete all your data.

9. Security

All data is encrypted in transit and at rest. Integration tokens (like your Google connection) are stored in dedicated secrets infrastructure — never in application code. Access is scoped per family with least-privilege permissions.


10. Your rights

You can ask us to export or delete your data at any time. Under PIPEDA, you have the right to access the personal information we hold about you and to request corrections. Just reach out and we'll take care of it.
